How does the algorithm work?

The algorithm computes a weighted recommendation by comparing the user's profile (job, experience, client, and location) against similar entries in the CT database. Results are scored based on their proximity to the input parameters, and the final rate is derived from a weighted aggregation, with higher weight given to the most relevant matches.

Is AI used in Creatives' Tool?

Yes, but in a limited and controlled way.

When you upload old invoices, we use AI-powered tools to read the document and identify key fields (such as dates, amounts, and other relevant information). This process saves time, as invoices can come in many different formats and layouts, making it difficult to extract this information manually. All data is processed securely and used only to generate insights.

Data & Privacy

What data does Creatives' Tool collect from my invoices?

We only extract limited, relevant data needed to generate market insights, including your profession, years of experience, type of client, project location, and daily rate (including any preparation day rate).

All data processed by the algorithm are anonymised and analyzed in an aggregated manner.

Does Creatives' Tool store my full invoices or only specific information?

Invoices issued through Creatives' Tool are stored in our database. We also extract only the limited information needed to generate insights.

However, we still recommend that you keep your own copy of your invoices in PDF format for your personal records.

Can my clients or projects ever be identified?

No. Creatives' Tool does not make your clients or projects identifiable within CT Insights.

Any data used to generate insights is anonymised and aggregated, meaning it is processed in a way that prevents individual clients, projects, or users from being recognised.

CT is designed to reveal market patterns, not individual business relationships.

Who owns the data I contribute?

You retain ownership of your original data and invoices.

Creatives' Tool only uses limited, anonymised information derived from this data to generate collective insights for the community.

This information is never sold or used to identify individual users, clients, or projects.

Can I delete my data at any time?

Yes. You can request the deletion of your personal data at any time, in accordance with applicable data protection laws.

Please note that anonymised and aggregated data used to generate market insights may be retained, as it can no longer be linked to you.

Is CT compliant with GDPR?

Yes. Creatives' Tool is designed in accordance with the General Data Protection Regulation (GDPR).

We apply principles such as data minimisation, purpose limitation, and secure data storage within the European Union.

Personal data is processed only when necessary, and any information used to generate insights is anonymised and aggregated.

Usage & Functionality

Can I import invoices from other invoicing tools (Pennylane, Indy, etc.)?

Yes. CT allows you to import PDF files so you can easily migrate your past invoices from other platforms and keep your full history in one place.

Will CT replace my accountant or accounting software?

No. CT focuses on invoicing, quoting, and insights. It does not replace accounting software or professional accounting advice, but works alongside them.

Is CT an accounting platform?

No. CT is not accounting software. It focuses on invoicing, quoting, and market insights for creatives, while accounting and tax management remain the role of your accountant or accounting system.

Creatives' Tool: Insights

How are benchmarks calculated?

Benchmarks are generated using an algorithm developed by CT that analyses anonymised data extracted from invoices.

The system identifies patterns across factors such as profession, experience level, market value, location, and client type to produce reliable market insights.

How reliable are the insights if the data is anonymous?

CT's insights remain reliable because they are based on aggregated patterns, not individual data points. Anonymisation removes personal identifiers, but the underlying numerical data such as rates, locations, and experience levels, is preserved and analysed collectively.

As more users contribute invoices, the dataset grows and benchmarks become increasingly accurate. Each result will also include a confidence score that indicates how reliable CT Insights is, based on the amount and quality of available data.

Will I see individual rates from other creatives?

No. Creatives' Tool does not display individual rates. All insights are based on aggregated, anonymised data to ensure that no user's information can be traced back to them.

What kind of insights will I receive?

You will receive market-based benchmarks showing typical daily rates, including both day rates and preparation day rates, for profiles similar to yours, based on real data.

These insights serve as reference points to guide your pricing decisions, while leaving you full flexibility to set your own rates.

Why does CT rely on community-contributed data?

Because the creative market has no reliable pricing benchmarks. By gathering anonymised data from real invoices, Creatives' Tool creates a collective dataset that reveals how the market truly operates.

The more creatives contribute, the smarter and more accurate the insights become, for everyone.

Who is CT built for?

Creatives' Tool is designed for freelancers across the visual creative industries.

Is CT only for fashion professionals?

Creatives' Tool was initially designed for professionals in the fashion industry. However, it is built to scale across the broader visual creative industries and is already relevant for a wide range of freelance creative roles.

Can creatives outside Europe use CT?

Yes, Creatives' Tool is accessible to users outside Europe, including the UK, the US, Switzerland, and Canada.

Practical Questions

Do I need to switch my workflow to use CT?

Not necessarily. If you choose the Couture Plan, Creatives' Tool becomes your main invoicing platform, and your workflow will naturally adapt.

However, if you already use another invoicing tool, you can still benefit from the Smart Cookie Plan by uploading your past invoices to access insights.

How secure is the platform?

Creatives' Tool is built with security as a priority. We use industry-standard practices to protect your data and ensure the platform is safe and reliable.

E-Invoicing / E-Reporting

Which markets are affected by these new regulations?

These regulations are being progressively implemented across Europe.

France and Belgium are among the first countries to introduce mandatory e-invoicing, starting in 2026. Other European countries are expected to follow with similar requirements in the coming years.

What is the exact timeline for e-invoicing in France?

The e-invoicing reform in France will be implemented in stages:

From September 1, 2026: All businesses must be able to receive electronic invoices.

From January 1, 2027: PME and freelancers will be required to issue electronic invoices.

From September 1, 2027: e-reporting requirements will come into effect.

Is CT connected to upcoming e-invoicing regulations?

Yes. Creatives' Tool is built to support e-invoicing and e-reporting regulations, starting with France and Belgium, and expanding to other countries over time.

Creatives' Tool operates as a compliant invoicing solution, relying on a certified partner (such as IOPOLE) to handle the transmission of invoices and data to the tax authorities in accordance with regulatory requirements.

What is an e-invoice?

An electronic invoice (or e-invoice) is an invoice that is created, sent, received, and stored in a digital format, with structured data that can be automatically read by systems.

This structured format ensures that the invoice is: authentic (the sender is identified), secure (the content cannot be altered), and readable (for both humans and systems).

A scanned paper invoice or a simple PDF is not considered an electronic invoice. To qualify, it must follow a specific format defined by tax authorities, including a set of structured data.

What is e-reporting?

E-reporting is a new system in France that requires businesses to send certain information about their sales to the tax authorities. It works alongside e-invoicing, but is used for transactions not covered by electronic invoices.

This includes: sales to individuals (B2C) in France and abroad, international business transactions, and some payment data (such as receipts from cash registers).

Together, e-invoicing and e-reporting give the tax authorities a complete view of a company's activity.

What are the obligations related to e-invoicing?

The e-invoicing reform introduces three main obligations for businesses in France.

1. Receiving electronic invoices — From September 1, 2026, all VAT-registered businesses in France must be able to receive electronic invoices. This means choosing a certified platform (PDP) or using a compliant solution such as Creatives' Tool.

2. Issuing electronic invoices — Businesses will also be required to issue invoices in an approved electronic format (such as UBL, CII, or Factur-X). Invoices can no longer be sent directly by email.

3. E-reporting — Businesses must send additional data to the tax authorities for transactions not covered by e-invoicing, including B2C and international transactions. E-reporting works alongside e-invoicing and does not replace VAT declarations.
